Quick Receivable User Guide

Day-to-day instructions for the people who use Quick Receivable every day: Collectors working accounts and sending follow-ups, and AR Admins managing credit, reporting, and configuration. For installation and system configuration, see Getting Started or Administration.

For Collectors

Working Your Account List

  • Open the All Accounts list and sort by past due, credit limit, or Priority Score to find where to focus first.
  • Open an account to see Total AR, Total Past Due, Credit Usage %, Broken Promise total, Max DPD, and your Collector Sentiment Score at a glance.
  • Use the account's sticky note for quick, shared context the rest of the team can see.

Following Up on an Account

  • Send a reminder or statement directly from the invoice list, or work the account through AR Emails using a ready-made template for the stage of the reminder cycle you're in.
  • If a customer doesn't respond to email, place an AI Collection Call, either a Broken Promise Call or an Invoice Follow-Up Call, directly from the account.
  • Every call and email logs its outcome, so the next person to touch the account has full context.

Logging a Promise to Pay

  • When a customer commits to a payment date, record the Promised Amount and Promised Date directly on the invoice.
  • The promise stays connected to the invoice and account, and counts toward the account's Broken Promise total automatically if the date passes without payment.

Handling a Dispute

  • Flag an invoice as disputed in one click from the invoice list.
  • Log the Dispute Category, assign an Owner, and add supporting documents.
  • Standard collection reminders can pause automatically while the dispute is being resolved. See Dispute Management for the full workflow.

Applying a Payment

Apply a payment from the invoice screen using Payment Workbench, or let Cash Application match remittance data to the right invoice automatically. See Cash Application & Reconciliation for detail.

Managing Credit Risk

Review new credit applications, monitor the Credit Risk Score Card for existing customers, and adjust credit limits based on payment timing, broken promises, and dispute history. See Credit & Risk Management.

Reviewing Reports and Dashboards

Use the Management Dashboard for Total AR, Overdue AR, Current Due, and the DSO gauge. Use the collector dashboard to see results by team member, and the Aging Bucket Current report for a full portfolio view. See Reporting & Dashboards.

Tips

  • Check the Priority Score before starting your day. It factors in AR activity, payment behavior, and risk signals so you're not guessing where to focus.
  • Use the AI Draft Engine for routine emails, then adjust the tone if the account needs a firmer or gentler touch.
  • If a payment doesn't seem to match any open invoice, check Cash Application exceptions before assuming it's missing.
